Why?

According to Simon Sinek, “Only a handful of businesses know what they really do and why they do it. By ‘Why,’ I am not referring to the profit. I’d say that’s the result. Instead, what I am focusing on is its true purpose. What’s the purpose? Most B2B professionals won’t be able to come up with an answer to the following question: Why does your organization actually exist?”

Asking yourself the ‘Why’ questions will help you know the true purpose, cause and belief. You’ll be able to figure out why exactly it is you do what you do.

But, to do that, you’ll have to buy a suitable domain.

If you already have your own company’s website up and running, then you don’t need to worry about it. But, if you don’t, you can check the availability and get yourself one from one of the following domain registrars:

The two most important things you need to take care of here are:
  • Using a marketing-dedicated domain’s email address (@co. rather than @com)
  • Personalizing the email address, for example, [email protected]

If you already have an existing website up and running for your real estate business, I’d advise against using it’s branded email address for marketing purposes.

For instance, if your website domain is www.company.com, then you should avoid using email address abcd@company.com.

Instead, my advice to you would be to purchase a new domain www.company.co and use this domain’s branded and personalized email address,
[email protected], to run your cold outreach campaign.

In addition to this, the reason why you should not use .co is that if you use a marketing-dedicated brand email address will help you protect your main brand’s reputation.

Plus, you should avoid using email addresses like:
That’s because if you do, then:
  • Your emails address won’t look personalized, leading to your audience considering it spam and not creating a good first impression
  • Some service websites like Facebook don’t use such email addresses
  • You’ll most likely be flagged as spam
  • Such kinds of email addresses already have a bad reputation and are most often marked as spam.

The next step is to set up your email account through G-Suite.

With Google’s G-Suite service, you can host your email for free and even use the Gmail interface with your business’ domain name.

Follow these steps to set up G-Suite within no time:

  • Add some basic information about your account. Hit “Next.”
  • Now, enter your “First Name,” “Last Name” & email address that you’ll be using

  • Enter “Username” & “Password” which will be your credentials to log into G-Suite

The following are the two ways of setting up email authentication:
  • Sender Policy Framework (SPF): It’s an email validation system designed for preventing spam through verification of the sender’s IP address.
  • DomainKeys Identified Mails (DKIM): Indicating email message’s ownership by a particular organization

While using Lemlist, instead of carrying out a simple LinkedIn search in the first step, you can use Sales Navigator to make the entire process much more efficient.

To scrape highly-targeted leads, my advice would be to use the Sales Navigator search URL as input to Phantombuster.

Follow these same steps we mentioned in the “Setup Phantombuster LinkedIn & Lemlist Workflow.” The only thing you need to modify is adding the SalesNavigator Search URL in the “Search URL” section in Phantombuster.

A good copy can make or break your business.
Truer words have never been spoken.
It’s the first time you are slipping into your target audience’s inboxes.
They don’t know anything about you. They might have never even heard of you.

AIDA Email Example

AIDA is a popular classic copywriting formula and stands for Attention-Interest-Desire-Action.

For instance, in the above cold-email template, the sender manages to capture the target audience’s attention with its compelling subject line and personalization.

Moving forward, he/she spices things up and makes things more interesting. Now, the sender has successfully managed to increase his/her product’s desire, which is followed by setting up a picture-perfect CTA smartly asking the target audience to set up a meeting.

Doesn’t that make things interesting?
You’d definitely have to edit this template and make sure that you are targeting your audience’s pain points.

Let’s begin.

Setup Lemlist Email Outreach Sequence

Now, let’s get down to creating an email outreach sequence:
  1. Select “Create a New Campaign.”
  2. Choose your campaign’s name
  3. Add your target audience’s list.
  4. Now, you will be asked to select from “Choose from one of our email templates” and “Create your own email and save as a template.” Select the latter one, as you already have hired someone on Fiverr to help you with your email copy.
  5. Select the “Delay Period” between the first email and the follow-up
  6. Set up a Schedule
  7. Add your Sender Email Address
  8. Review Your Buddies
  9. Lastly, Launch Your Campaign
  10. Now, after creating your initial email, select “Add Next Step,” which you can see in the below-displayed picture.
  11. After clicking on it, you will be following the same steps you did previously. You will be asked to add in the “Delay period.”
  12. Alongside this, if needed, you can add more follow-ups and create a whole new email sequence.

How Many Follow-Up Emails Should You Send After No-Response?

Well, there’s no concrete answer to this question. Here’s a tried-and-tested framework used by various real estate businesses:
  • Delay Period between Email 1 & 2:2 Days
  • Delay Period between Email 2 & 3:3 Days
  • Delay Period between Email 3 & 4:4 Days

Sending too many emails at once will make you appear as someone who’s too pushy and clients hate that.

But, how many follow-up emails should you really send?
It totally depends on your campaign type.
If it’s:

  • Sales-Oriented Campaign: 4 Emails
  • Partnership-Oriented Campaign: 2 Emails

Set Up Lemlist Email Reply Sequence

For replies, you will have to set up a dedicated list using Zapier.

Okay, here comes my personal favorite tool that always makes me proud – Zapier.

It’s a glue, a super-sticky one, that connects thousands of web apps on the Internet. When integrated, all you need to do is start a trigger that’ll set your Zap into motion, kicking off the workflow.

With Zapier, you can easily connect your everyday-use apps and automate workflows to get things done with ease.

To set up the Lemlist Email Reply Sequence, follow these steps:
  1. Head over to Zapier.com. Create a Zap.
  2. Look up for Lemlist. Select the Lemlist App
  3. Select the “New Activity” trigger. Click “Save.”
  4. Connect your Lemlist account, if you didn’t already.
  5. Choose the campaign. Select “emailsReplyed” activity type.
  6. Test the trigger.
  7. Select Lemlist as Action App
  8. Choose “Create a Lead” & Continue.
  9. Select the Lemlist Connection.
  10. Fill the form with the value from the trigger
  11. Now, it’s time to test the trigger. Once tested, save the Zap.
  12. And you are done.

Configure Reply Detection and Taking Action

Let’s say you want to receive a notification on Slack each time you get a reply from your cold outreach email campaign. Or some other kind of action, maybe!

With Zapier, you can configure the reply detection and the taking action part with ease.

Here’s how I use Zapier for receiving a notification on Slack each time someone replies back to my cold outreach campaigns.

Here are the steps that need to be followed:<

  1. Head over to Zapier.com and create a trigger -> New Email Activity in Lemlist
  2. Select the cold outreach campaign you want to receive notifications from. Set the event type as “Emails Replied.”
  3. Choose another action “Send a channel message in Slack”
  4. Choose the Slack channel. Add the information that you want the bots to send to your channel.
  5. Save and run this integration. BOOM! Now, every time someone from one of your cold outreach campaigns replies to you, a bot will be sending you a message on Slack, of which a notification will pop up on your phone.

Monitor and Track Important Email Metrics

To improve your deliverability rate, it’s important to monitor and track some of the email metrics like open rate, bounce rate, click rate, etc.

Here are the two types of metrics you should track:
  • Positive Metrics: How many people opened your emails, replied, clicked through and were interested.
  • Negative Metrics: The number of failed emails, bounce rate, and the number of “Not Interested” leads.

To know where you currently stand and whether your cold outreach campaign is working or not, it’s essential to monitor and track your email open and click rate.

Open Rate

The open rate is the percentage of people who opened your emails. A good email open rate is 50+%. If it’s low, the first thing you should check is the deliverability rate. If the deliverability rate is good, then maybe you need to focus
more on crafting killer subject lines.

Hot Tip:Email subject lines are key, you can even personalize them. Imagine seeing your name in the email subject line in your inbox, at a minimum it would cause intrigue and then possibly encourage the recipient to open it!

Click Rate

Click Rate is the number of people who clicked through.
A good click rate and what you should be aiming for is 40+%.

Reply Rate

Reply Rate is the percentage of people who replied to you back.

If your campaign is subject to a low reply rate, then the problem may be:
  • Lack of personalization
  • Poor templates
  • Not carrying out thorough research about your target audience
  • Not targeting the right audience.

Interested Rate

You can do this manually by marking people who replied back to you with the “Mark as Interested” option.
For the ones who didn’t, you can use the “Mark as not interested” option.

Bounce Rate

A good bounce rate is less than 5%.
The bounce rate is the percentage of your emails that didn’t hit your target audience’s inboxes.

Integrate Your Online Calendar for Scheduling Calls

While sending emails, you might want to make it super-easy for your prospects or potential clients to schedule a meeting with you.

Making it too difficult for them will just make them lose interest.

Don’t worry, Calendly is here to save the day.

With Zapier, you can integrate your online calendar (Calendly) with Lemlist for scheduling calls.

Calendly is one of the most popular scheduling software used by millions of businesses to schedule meetings, calls and appointments with ease.

Integrate Your Email Automation Tool with your CRM

You might have created an outstanding cold email outreach campaign.
And, you might have got dozens of replies.
But what’s next?
You’ll have to keep nourishing these leads to turn them into paying clients.
So, now you need to load your leads into the CRM.
Again, Zapier’s here to save the day.
With Zapier, you can connect your Lemlist with your preferred CRM to load your leads into it.

Here’s an example:
  • You created an outstanding cold outreach campaign
  • Nearly 10 of your potential clients booked a call with you on Calendly
  • Now, you can load these leads, the ones who booked a call with you, into your preferred CRM. My personal favourite is Freshsales
  • Once you have loaded them into your CRM, you need to make sure that you don’t send them the follow-up emails on Lemlist
Here’s how you can do it:
  • Visit Zapier.com and create a Zap “Invitee created in Calendly”
  • Now, you need to stop emails for the people who have booked a call or scheduled a meeting with you. Select “Lemlist” and “Stop emailing a Buddy-to-be in a campaign.”
  • To exclude these folks, define the fields “Campaign” and “Email.” You can do it easily by selecting your Lemlist campaign’s name and choosing the email received from Calendly
  • Now, select your CRM, let’s say Pipedrive as an app. Take the action “Create Person.”
  • What do you want to add to the Pipedrive record? Add variables like Name, Email, phone number etc.
  • Create a deal with your leads in Pipedrive.

And you are done!

6. The Cold Email, Now Warm Contact Conclusion

In the end, the purpose of going through all of this trouble is to get your clients on the phone, isn’t it? That’s where all the magic happens.

So, the question is, “Why should we run cold outreach campaigns, instead of cold calling them directly?”

It’s the same thing, right? You’d be getting them on the phone in either case.

But the thing is you are reaching out to your audience for the very first time.

The main point here is to create a genuine connection with your target audience. Using either of these methods single-handedly won’t do you any good.

Instead, what’s the best approach here is to run a cold email outreach campaign and allow your prospects to book a call with you, if they are interested. This will help you warm up your prospects before you have a verbal conversation with them.

Going into the call, they already know who you are as it’s not the first time they would be interacting with you.

This will boost your chances of converting them into leads, ultimately helping you turn them into paying clients.
