Cold Email Outreach Supercharged Offers

Mastering the Art of Cold Email Outreach: The Most Comprehensive Guide You’ll Ever Come Across

Getting people to open your cold emails isn’t a piece of cake.

And according to recent HubSpot reports, it’s becoming way harder with each passing day.

While the cold email open rate is different for different industries, the average open rate, according to recent data from MailChimp, ranges between 15.22 and 28.46%.

For real estate businesses, it’s somewhere around 20%.

In today’s digital world, people’s inboxes are already flooded with hundreds of thousands of emails, and honestly, they don’t want another one of those companies, unnecessarily, bothering them on a regular basis.

They don’t want another company to send them promotional offers unless they really want to hear from them.

But the thing is, no matter how much clients hate this, trust me, it’s important.

If you are just getting started with your cold email marketing journey, you might not have an email list, to begin with.

However, that shouldn’t discourage you and stop you from putting yourself in front of your prospects.

I’ve seen thousands of businesses and so-called marketing gurus curse cold email campaigns because their cold campaigns didn’t do wonders for them. But what they fail to understand is that they didn’t apply the right set of tactics.

All they did was email as many clients as they possibly could out of the blue.

Upon applying the right set of tactics, you can boost your email open rates by more than 50%.

Imagine being able to generate 50-60 real estate leads each week with your cold email campaigns.

And that’s exactly what I would like to help you out with.

The High-Level Lesson

What is a Cold Email?

Cold Email Outreach is one of the effective and inexpensive outbound sales prospecting techniques in which you will be sending emails to your potential clients with whom you haven’t had any prior relationship.

In simpler terms, you will be sending emails to some of your potential clients completely out-of-the-blue.

They might not know who you are. They might not even be aware of your real estate business’s existence.

These emails, in some cases, are also considered by some as ‘Spam.’

But, if you want to get the most out of it, it’s essential to build a full-proof cold email outreach strategy.

Some of the most popular campaigns involve personalized emails and social messages. The reason why personalized emails work is that they help establish warmer relationships and create a great first impression, helping businesses increase their chances of not hitting the spam box.

Some rules outline by FTC which will differentiate your emails from the spam ones include:

  • No misleading subject lines
  • No misinterpretation of who you actually are
  • Including business address
  • Identifying your email as an ad
  • Providing your potential clients with an “Opt-Out” option & honoring it
  • Identifying what third parties are sending on your behalf plus correcting them when they step out of the line if they do

Once you have kickstarted your relationship with the help of these cold email campaigns, you can start nurturing them and taking the necessary steps to convert them into paying clients.

Your Cold Outreach Strategy

In the above section, we discussed the importance of building a full-proof and well-detailed cold email outreach strategy.

In this digital world, people are super-afraid of getting themselves involved with new businesses. That’s because they don’t want to waste their hard-earned money on low-grade products or services.

But it doesn’t matter if you offer outstanding and the highest quality real estate service, you won’t get noticed or be able to turn your prospects into leads if you don’t know how to create a great first impression.

You need to position yourself as someone who’s professional and deeply cares about their needs.

While sending emails, it’s vital to keep in mind that it’s the first time you are interacting with your potential clients.

All you have is one shot. And to achieve success, you need to knock it out of the park, which is why you should consider building a step-by-step cold outreach strategy in the first place.

But way before we even get started with that, we need to ask ourselves some of the most basic, yet important questions and identify some of the most common problems most businesses face to help you build an effective cold email outreach strategy.

We’ll further be dividing this section into:

  • The Objective
  • The Problem
  • The Desired Outcome

The Objective

It’s the first time you are slipping yourself into your potential clients’ mailboxes.

Salesy subject lines and poorly-structured emails will end up doing you more harm than good.

The end result? They might not want to hear from you ever again.

Hence, you need to approach in a way that appeals to them.

Warming them up is crucially important. This way, you will be taking the first step towards turning them into high-quality leads.

While building your strategy, you should be aware of the following things:

  • What’s Your Unique Selling Point (USP)?
  • What’s Your Message?
  • Who’s Your Ideal Client?

What’s Your Unique Selling Point (USP)?

Way before you even begin, the most important question you should ask yourself:

“What’s My Unique Selling Point (USP)?”

There might be dozens of businesses offering the same service that you are willing to offer.

Your potential clients might already have a few of them slipping into their mailbox.

That’s the reason you should be clear on what makes you unique from your competitors.

Ask yourself:

“What Makes Me the Big & Most
Dominating Fish in This Never-Ending Ocean?”

And once you have identified your USP, you need to put it in front of your potential clients the right way.

What’s Your Message?

I hate technical or too fluffy emails.

Most people do.

And so will your target audience or potential clients.

Here’s what you should avoid:

  • Boring your potential clients with unnecessary brief introductions
  • Adding in too many features
  • Adding in too much information, which your prospects might not even read
  • Not backing up your claims with proof.

All you need is a simple script. A short and sweet message will do the job for you.

Your prospects are already busy people.

Put yourself in their shoes and tell me, would this email intrigue you or even catch your attention:

I would have hated it. That’s because it’s just too much information.

Instead, crafting a highly-converting subject line will help you get them on call.

In short, a highly-engaging cold call email subject line line plus a simple script may do wonders for your business.

Who’s Your Ideal Customer?

Did you know that my target audience is you guys? Like, it’s real estate businesses or agents wanting to grow their business.

I already have figured out who I need to target. If I hadn’t, I would simply be wasting my big bucks on failed campaigns.

You need to learn who really needs your services and will benefit from them.

People face dozens of problems these days. And your business may help some solve one of them. Identifying people’s problems and offering them a value-adding solution will help you stay ahead.

The digital world isn’t just limited to Google.

Channel your efforts on social media platforms like Facebook, Instagram, LinkedIn and other digital platforms as well.

This will help you understand who really your target audience is and where they love hanging out the most.

Here’s a list of 10 questions to help you define your ideal customer:

  • Where do they hang out the most?
  • Where do they get information?
  • What are their pain points?
  • What brands do they love interacting with?
  • What are their priorities and goals?
  • What form of communication do they prefer?
  • What’s their budget?
  • Where do they reside?
  • What makes them happy?

The Problem

I’ve seen businesses countless problems each day, and here’s how this cold outreach solution can help you solve them effectively:

  • Finding Customers
  • Building an Email List
  • Spreading Awareness
  • Lead Generation
  • Hiring Talented People

Finding Customers

This problem has been haunting businesses since the dawn of time. And if you don’t apply the right set of tactics, you may find yourself as a victim.

Whether it’s a completely new business or an old one looking forward to expanding into new territory, this problem is a mood-killer.

Believe me, folks at Microsoft, Apple, Toyota face trouble finding customers.

And their marketing teams are completely aware of it.

A well-planned cold outreach campaign can help reach out to your potential clients and create a great first impression in front of them, ultimately helping you convert them into leads.

And once you engage them in conversation and nourish them, you will finally be able to turn them into paying clients.

Building an Email List

People say ‘Email Marketing is Dead.’

But they have never been more wrong.

The reason why their campaigns fail is that they find themselves struggling with building their email list.

But, if you already have a well-built one, that doesn’t mean you should stop adding new potential customers to it.

That’s because email marketing databases degrade by a massive 22.5% each year.

And if you don’t increase it, you will face a hard time maintaining its reach.

With cold outreach campaigns, you can gain access to highly-targeted B2B data via various tactics. Once you have the list in your hands, you can set up an email sequence to send your well-crafted emails automatically. And upon doing it right, you’ll probably get a reply from some of the prospects in your list. Replying back to them will help you ensure that you are taking the necessary steps to convert them into leads, which is what’s needed to build your email list.

Spreading Brand Awareness

Brand awareness is one of the most crucial aspects of a well-built digital marketing strategy.

The big guns that are dominating today’s world harnessed themselves behind the scenes.

But to spread your brand awareness, it’s essential to reach out to as many of your high-quality prospects as you possibly can and make an outstanding first impression in front of them. And that’s what a well-planned cold outreach campaign can help you with.

This campaign will not only help you create an overall great first impression but even help you send-up follow-up and lead reply emails to keep the conversation going and ultimately turning them into potential leads. And once that’s done, you can take the necessary steps to turn them into paying clients, sowing seeds to a healthy and long-lasting business relationship.

These clients would love nothing more than recommending your services to their friends or fellow-colleagues, helping you spread brand awareness the right way.

Lead Generation

It takes anywhere between five to seven touchpoints to turn your lead into paying customers.

But to do that, you need to generate leads.

And trust me, you’ll need an outstanding lead generation strategy to see results.

Most businesses focus on the number of leads they generate. But while chasing too many leads, they often fail to focus on the quality.

With personalized email campaigns, you will be warming your potential customers, which is the first step towards building a long-lasting relationship.

Hiring Talented People

As difficult as it is to find customers, it’s equally hard to hire talented people.

People you work with and hire can make or break your business.

But the thing is, there’s a huge pool of talented individuals you can find the perfect fit from.

What you need to do is find someone who fills the criteria for the job and can deliver results.

It’ll be a hard thing to do. But it’s worth every minute of your time.

Most businesses find themselves stuck in the screening and hiring process.

Rather than going through the hassle of investing your valuable time on such processes, cold email outreach can help you approach your potential employees and ask them more about their interests. Sending cold emails is one of the most effective ways to reach out to job seekers and explore the huge talent pool all across the world.

If they are actually interested, they’ll respond. Otherwise, they won’t.

But in the end, it’s worth a shot.

The Desired Outcome

Prison Break is one of my most favourite TV shows and is hands-down one of the best there is.

What’s so great about this TV show is that the lead character “Michael Scofield” always had a plan. And that’s why I succeeded, most of the time.

Everything begins with a plan.

And if you are looking forward to kick-starting your journey, you need a plan.

And that’s what we will help you build.

To tackle the problems I’ve mentioned above, you need to build an out-of-the-box well-planned cold outreach solution for your business.

Upon successful completion of this course, you will have created and implemented a strategy that’ll help you generate dozens of high-quality leads each week via cold outreaching.

You’ll have documented your Why, How & What, followed by building your email reputation, gathering targeted B2B data for your business, hiring a conversion-focused freelancer who can deliver result-oriented cold compelling emails, creating effective cold outreach and reply sequence, monitoring data and ultimately loading the leads generated into your CRM.

Creating a cold email outreach campaign is a piece of cake. But what’s tough is doing it the right way. Cause if you don’t do it right, your campaigns probably won’t yield results that you’ve been desiring.

In the end, it’ll all be a waste of your valuable time and marketing budget.

My personal tried-and-tested framework involves some of the most-effective tools and tactics that have helped me generate thousands of leads up until now, which I keep nourishing to scale my business and take it to heights.

Once you have generated these leads, don’t forget to nourish them and take the necessary steps to ultimately convert them into paying clients, boosting your revenue and helping you generate profits.

 Your Cold Email Outreach Solution

Apart from building a highly detailed cold email outreach strategy for your business, you’ll even have to equip yourself with the right tools that aren’t just limited to including email creators and campaign schedulers, but also help you track your campaigns’ effectiveness, verify lists, detect replies and so much more.

To make sure that your cold outreach email campaigns achieve success, you’ll have to work on the following factors:

  • Build Your Email Reputation: Whether your emails will land on your target audience’s inboxes or not depends on your sending reputation. The deliverability rate is highly dependent on the sending history. So, initially after setting up your email account, we will be taking a look at how you can get started with warming your email reputation.
  • Obtain Target B2B Data for Your Niche & Verify It: I want your cold email outreach campaigns to be highly effective. For that to happen, you’ll require relevant data of your preferred target audience. In addition to this, I’ve seen many business owners and marketers waste their precious time on unverified email addresses. To avoid this mistake, it’s essential to validate these email addresses. And that’s what email validation tools are for. Our framework will make sure that none of your resources are wasted on emails that just bounce back, impacting your email reputation in the end. Our framework consists of the setup that’ll help you all of it.
  • Create Compelling Emails: Writing fluffy and boring emails will just bore your prospects to death. And that’s a mistake you can’t afford. Instead, what you should focus on is writing a short and sweet script that focuses on the heart of their problems. Either you can write a compelling email copy all by yourself or hire a conversion-focused copywriter on Fiverr who can professionally do it for you, helping you have the maximum impact.
  • Sending Emails Automatically, One-By-One: After you have the cold emails in your pockets, it’s time to create a cold outreach plus reply email sequence that will help you automatically send emails to your leads depending on their actions.
  • Reply Detection & Taking Action: Our framework consists of tools for detecting replies from different addresses, same addresses, forwards, etc., which will play a major role in personalizing and differentiating emails from the source
  • Monitor Opens & Clicks Tracking: It’s crucially important to monitor data to know where you currently stand and whether your campaign is yielding results or not. Our framework includes tools which will help you monitor your cold outreach as well as social message campaign’s effectiveness
  • Integrate Online Calendar to Schedule Calls: What if one of your potential clients wants to schedule a call with you? And that’s exactly why we’ll be learning how to integrate an online calendar with your email for scheduling calls.
  • Integrate Your Email Tools with CRM: To sort all of your customers’ information and contact details into a single repository, you should consider integrating your email tools with your CRM. This will not just help you keep all of your customers’ information at one place, but also work well with analytics, in the end, helping you improve your customer outreach.

Cold Email Summary

Some business owners and marketers claim cold outreach to be one of the most complicated tasks, like ever. But what if I told you that it’s not as crazy and complicated as it actually sounds? But that’s only applicable if you implement a unique out-of-the-box strategy that not only plays to your strengths but also focuses on targeting customers that really need your services. Document Your Why, How & What

Simon Sinek’s “The Golden Circle” will completely change the way you think about your business and help you achieve success.

In his Ted Talk, Simon Sinek presented this “Golden Circle” in front of his audience and focused on the three most important parts of the Golden Circle, which are:

  • Why?
  • How?
  • What?

The Golden Circle states that most organizations ask themselves the ‘What’ questions, which makes them lose sight of their true purpose and cause, whereas, in reality, they should be asking themselves the ‘Why.’

Why?

According to Simon Sinek, “Only a handful of businesses know what they really do and why they do it. By ‘Why,’ I am not referring to the profit. I’d say that’s the result. Instead, what I am focusing on is its true purpose. What’s the purpose? Most B2B professionals won’t be able to come up with an answer to the following question: Why does your organization actually exist?”

Asking yourself the ‘Why’ questions will help you know the true purpose, cause and belief. You’ll be able to figure out why exactly it is you do what you do.

How?

Moving forward, the ones who ask themselves the ‘How’ questions know what makes them special and what sets their business apart from the competition.

Asking ‘How’ questions will help you know your strengths and values.

‘How’ questions will help you communicate with the limbic brain- the part that drives emotions and behaviour.

But still, it isn’t as strong as the ‘Why’ messaging, which we will be taking a look at next.

What?

Almost all businesses out there know what they do. Like, they are completely familiar with the products and services they are selling.

If you ask a 9-5 job guy what he does, then he might probably end up mentioning his employer’s name and his job title.

But as stated by Simon, the ‘What’ questions only engage with the neocortex – the part of the brain that isn’t at all good with the decision-making process.

Hence, most successful people, rather than asking ‘What,’ ask themselves ‘How’ or ‘Why.’

Before we get down to building our cold email outreach solution, I’d advise you to spend 10-15 minutes of your valuable time documenting your Why, How & What.

Questions like:

  • Why are we doing what we are doing?
  • How will we help our target audience?
  • What are we offering?

Build Your Cold Email Outreach Solution

Once you have documented your Why, How & What, it’s time to proceed towards creating a full-proof cold email outreach solution for your real estate business.

So, how do we begin? What should be the first step?

Before we get started, let me list out the tools I use to ensure that my campaigns are a complete BLAST from these cold email software providers;

  • Lemlist.com – Email Warming, Sending Emails, Reply Detection, Monitor Opens & Clicks Tracking, Online Calendar Integration
  • Sales Navigator – Targeted Data
  • Phantombuster.com – Automate & Obtain Targeted Leads (Plus Point: They Have LinkedIn & Lemlist Workflow)
  • Dropcontact.io – Verifying Lists
  • Proxymesh.com – Avoid IP Bans & Rate Limits
  • Zapier.com – Automations & Integrations, Reply Detection, CRM
  • Fiverr.com – Hire Conversion-Focused Copywriters to Create Compelling Cold Emails

With these tools in your arsenal, your email outreach campaigns, if executed right, will be a major success.

Start Warming Your Email Reputation

Obviously, you don’t want your emails to hit the “Spam” folder, do you?

So, to avoid the “Spam” folder, it’s essential to buy a suitable domain, set up a new email account, set up Lemlist and begin warming your email address and domain.

Buy A Suitable Domain

Listed below are the 2 kinds of email providers you can use:

  • Free – Gmail, Hotmail, etc.
  • Paid – G-Suite

Here’s what a free email provider looks like:

“abcd@gmail.com”

Whereas, a paid email provider looks like this:

“abcd@company.co”

The reason why free email providers don’t work well is that there are hundreds of thousands of spammers who keep sending spam emails to people on a regular basis, leading to a bad reputation and low deliverability rate.

To increase the chances of your emails hitting your target audience’s inbox, you should opt for paid email providers.

But, to do that, you’ll have to buy a suitable domain.

If you already have your own company’s website up and running, then you don’t need to worry about it. But, if you don’t, you can check the availability and get yourself one from one of the following domain registrars:

  • Godaddy (Preferred)
  • Domain.com
  • Bluehost
  • Namecheap

The two most important things you need to take care of here are:

  • Using a marketing-dedicated domain’s email address (@co. rather than @com)
  • Personalizing the email address, for example, firstname@company.co

If you already have an existing website up and running for your real estate business, I’d advise against using it’s branded email address for marketing purposes.

For instance, if your website domain is www.company.com, then you should avoid using email address abcd@company.com.

Instead, my advice to you would be to purchase a new domain www.company.co and use this domain’s branded and personalized email address, abcd@company.co, to run your cold outreach campaign.

In addition to this, the reason why you should not use .co is that if you use a marketing-dedicated brand email address will help you protect your main brand’s reputation.

Plus, you should avoid using email addresses like:

That’s because if you do, then:

  • Your emails address won’t look personalized, leading to your audience considering it spam and not creating a good first impression
  • Some service websites like Facebook don’t use such email addresses
  • You’ll most likely be flagged as spam
  • Such kinds of email addresses already have a bad reputation and are most often marked as spam.

I’d advise you to personalize the email address like as my name is Matthew, I’d be sending you a cold email from “matthew@company.co

Sending emails from firstname@company.co will be beneficial because it will appear as a legit email being sent by your company, ensuring that it’s identifiable. And the best thing? It’s personalized. It will create an outstanding first impression on your target audience, boosting the chances of your target audience replying back to you.

Setup Your Email Account

The next step is to set up your email account through G-Suite.

With Google’s G-Suite service, you can host your email for free and even use the Gmail interface with your business’ domain name.

Follow these steps to set up G-Suite within no time:

  • Click HERE and hit that big “Get Started” button at the top-right.
  • Add some basic information about your account. Hit “Next.”
  • Now, enter your “First Name,” “Last Name” & email address that you’ll be using
  • If you already have a domain, select “Yes” or else go with “No.”
  • Upon selecting “Yes,” you will be asked to add your domain name. Once added, select “Next.”
  • Confirm your Domain Name
  • Add a recovery email address
  • Enter “Username” & “Password” which will be your credentials to log into G-Suite
  • Click “Agree and Create Account”

No matter how compelling your cold email copy is, your target audience won’t be clicking-through, heck they won’t even consider opening it, if you don’t have a profile picture.

Hence, you shouldn’t forget to add the following information:

  • Your real name
  • Your real Photo
  • Your real information

Avoid Emails Going to Spam

Email providers, to actually determine whether you are the one sending the emails, use technical ways like SPF, DKIM & DMARC.

The following are the two ways of setting up email authentication:

  • Sender Policy Framework (SPF): It’s an email validation system designed for preventing spam through verification of the sender’s IP address.
  • DomainKeys Identified Mails (DKIM): Indicating email message’s ownership by a particular organization

To know more about your current SPF & DKIM, click HERE and add in your domain.

If you exist in the red zone, you can set up the SPF & DKIM by visiting:

  • To learn how to set up SPF, click HERE.
  • To learn how to set up DKIM, click HERE.
  • To learn how to set up DMARC, click HERE.

Setup Lemlist to Start Warming Email Address

Your email provider will always want to make sure that you are playing by the rules.

And if you have recently created your own email account, then you need to create a good reputation. It’s super-important.

That’s the reason we’ll be warming your email account now.

A warmed-up email address is nothing but an email address that has a reputation of sending and receiving emails, just like a real person does.

If you are wondering whether you will have to go through the hassle of manually doing it all by yourself, then let me unburden your thoughts:

Lemlist is here to save the day.

Follow these steps to warm up your email address and domain:

  • Click HERE to visit Lemlist
  • Create an account
  • Once done, visit Settings -> Email Warm-Up
  • Set up Lemwarm & Select “Start” at the top-right

Here’s what it looks like:

While setting up your Lemwarm, if your email account is young or has been recently created, you should set:

  • Number of warm-up email per day after ramp-up: 30
  • Ramp-up increment value per day: 1

Otherwise, set it to:

  • Number of warm-up email per day after ramp-up: 40
  • Ramp-up increment value per day: 2

Target B2B Data for Your Niche and Verify Your Data

Setup Phantombuster LinkedIn & Lemlist Workflow

In the past, businesses had to check on every LinkedIn lead themselves manually. Plus, they had to use multiple browser extensions for extracting emails. Once done, they had to add them to a spreadsheet all by themselves. The next step? Upload them to their email tool.

Sounds so complicated, doesn’t it? Yes, it is!

But, these days with tools like Phantombuster, Lemlist, Proxymesh, Dropcontact, you don’t have to worry about going through all of that.

All you need to do is to follow a few steps and all of it will be carried out AUTOMATICALLY.

Phantombuster is a mind-blowing tool that will help you extract some of the most meaningful data from the World Wide Web, which you can use for generating leads and growing your business.

Here’s how it works:

  • Carry out a simple LinkedIn search for targeting the prospects you would like to reach out to and connect with
  • Phantombuster, on your behalf, will be automatically visiting their profile and inviting them to connect. It will even send them a welcome message
  • On LinkedIn, upon visiting someone’s profile, it’ll trigger your audience’s curiosity with the “Someone viewed your profile.” This will result in your target audience visiting your profile and engaging with your content.
  • Any relevant information you need, Phantombuster will scrape it from your target audience’s profile.
  • This information is then transferred to Lemlist automatically

Follow these steps to setup the Phantombuster LinkedIn & Lemlist Workflow:

    • Head over to Phantombuster’s website and create an account.
    • Install the Phantombuster’s extension on Google Chrome.
    • After you have installed it, click on the Phantombuster’s Chrome extension.
    • Add in the following details:
      • Search URL: Add in the URL of the page where you carried out your targeted LinkedIn search
      • Lemlist API Key: You can find your Lemlist API key in your Lemlist account under “Settings -> Integrations -> API section.”
  • Lemlist Campaign Name
    • Select “Dropcontact” as your B2B email enrichment service
    • Dropcontact API Key: To get this key, you will have to create your Dropcontact account, which we will take a look at now.

Setup Dropcontact

Dropcontact will enrich all of your B2B contacts as well as professional email addresses automatically. It’ll validate the email addresses and verify the list to make sure that none of your resources are wasted on emails that just bounce back, helping you avoid being subject to a negative email reputation.

Click HERE to head over to the Dropcontact website and create your account.

After registration, under the “My Account” section, you can get your Dropcontact API Key, which you can add to your Phantombuster LinkedIn & Lemlist Workflow.

Setup Proxymesh

I use Proxymesh to avoid IP bans and rate limits.

Proxymesh will provide you with 15 rotating IP address proxy servers.

Each of these servers are subject to 10 IP addresses that rotate twice per day.

This means Proxymesh will provide you with 300 IP addresses each day.

As a result, you can get around IP bans as well as rate limits with ease.

Click HERE to head over to their website and sign up.

Get Data from SalesNavigator

Sales Navigator is LinkedIn’s social selling platform with a variety of features and focuses on helping businesses find the right prospects for building further relationships.

It’s an extremely powerful set of personalized algorithms, search capabilities and improved visibility into networks, which will help you find targeted data.

While using Lemlist, instead of carrying out a simple LinkedIn search in the first step, you can use Sales Navigator to make the entire process much more efficient.

To scrape highly-targeted leads, my advice would be to use the Sales Navigator search URL as input to Phantombuster.

Follow these same steps we mentioned in the “Setup Phantombuster LinkedIn & Lemlist Workflow.” The only thing you need to modify is adding the SalesNavigator Search URL in the “Search URL” section in Phantombuster.

Create Compelling Emails

A good copy can make or break your business.

Truer words have never been spoken.

It’s the first time you are slipping into your target audience’s inboxes.

They don’t know anything about you. They might have never even heard of you.

Hence, creating a great first impression is super-vital.

Right from the subject line to the main content, everything should be perfect.

You can’t afford to make any mistakes.

You’ll have to be super-creative.

AIDA Email Example

AIDA is a popular classic copywriting formula and stands for Attention-Interest-Desire-Action.

For instance, in the above cold-email template, the sender manages to capture the target audience’s attention with its compelling subject line and personalization.

Moving forward, he/she spices things up and makes things more interesting. Now, the sender has successfully managed to increase his/her product’s desire, which is followed by setting up a picture-perfect CTA smartly asking the target audience to set up a meeting.

Doesn’t that make things interesting?

You’d definitely have to edit this template and make sure that you are targeting your audience’s pain points.

Here’s another one I love to improve your game;

You can creatively write them all by yourself, or you can, to save your time and get it done professionally, hire a conversion-focused and highly-experienced copywriter on Fiverr to help you with it.

I am one of the leading buyers on Fiverr and have been hiring extremely talented individuals on the platform to help me with my business activities.

And the best thing? If you are tight on budget, you can hire a freelancer for as low as $5.

Isn’t that amazing?

But, it’s not as easy as it seems. You can’t just place an order, add in what you need and be done with it.

For results, you should create a detailed description of what you want, clear-cut instructions and what you are aiming to achieve out of this. Let your preferred freelancer all about your brand, your vision and share some examples, which would ultimately help him/her knock-it-out-of-the-park.

So, initially, you can hire a copywriter on Fiverr to help you create the best sales email template:

  • 1x Initial Outreach Email
  • 3x Follow-Up Emails
  • 1x Lead Reply Email
  • 1x Lead Reply Reminder Emails

One major tip and overarching principle when writing cold emails; 80% of the message should be about the recipient!  Expressing general interest in someone and what they do is an excellent way to start new conversations.

Send Your Emails Automatically, but one at a Time

Once you have those well-crafted compelling emails in your pockets, the next step is to proceed forward with setting up your Lemlist Email Outreach & Email Reply Sequence.

In addition to this, we will also be configuring Reply Sequences with Zapier for effective results.

Let’s begin.

Setup Lemlist Email Outreach Sequence

Now, let’s get down to creating an email outreach sequence:

  1. Select “Create a New Campaign.”
  2. Choose your campaign’s name
  3. Add your target audience’s list.
  4. Now, you will be asked to select from “Choose from one of our email templates” and “Create your own email and save as a template.” Select the latter one, as you already have hired someone on Fiverr to help you with your email copy.
  5. Select the “Delay Period” between the first email and the follow-up
  6. Set up a Schedule
  7. Add your Sender Email Address
  8. Review Your Buddies
  9. Lastly, Launch Your Campaign
  10. Now, after creating your initial email, select “Add Next Step,” which you can see in the below-displayed picture.
  11. After clicking on it, you will be following the same steps you did previously. You will be asked to add in the “Delay period.”
  12. Alongside this, if needed, you can add more follow-ups and create a whole new email sequence.
How Many Follow-Up Emails Should You Send After No-Response?

Well, there’s no concrete answer to this question. Here’s a tried-and-tested framework used by various real estate businesses:

  • Delay Period between Email 1 & 2: 2 Days
  • Delay Period between Email 2 & 3: 3 Days
  • Delay Period between Email 3 & 4: 4 Days

Sending too many emails at once will make you appear as someone who’s too pushy and clients hate that.

But, how many follow-up emails should you really send?

It totally depends on your campaign type.

If it’s:

  • Sales-Oriented Campaign: 4 Emails
  • Partnership-Oriented Campaign: 2 Emails

Set Up Lemlist Email Reply Sequence

For replies, you will have to set up a dedicated list using Zapier.

Okay, here comes my personal favorite tool that always makes me proud – Zapier.

It’s a glue, a super-sticky one, that connects thousands of web apps on the Internet. When integrated, all you need to do is start a trigger that’ll set your Zap into motion, kicking off the workflow.

With Zapier, you can easily connect your everyday-use apps and automate workflows to get things done with ease.

To set up the Lemlist Email Reply Sequence, follow these steps:

  1. Head over to Zapier.com. Create a Zap.
  2. Look up for Lemlist. Select the Lemlist App
  3. Select the “New Activity” trigger. Click “Save.”
  4. Connect your Lemlist account, if you didn’t already.
  5. Choose the campaign. Select “emailsReplyed” activity type.
  6. Test the trigger.
  7. Select Lemlist as Action App
  8. Choose “Create a Lead” & Continue.
  9. Select the Lemlist Connection.
  10. Fill the form with the value from the trigger
  11. Now, it’s time to test the trigger. Once tested, save the Zap.
  12. And you are done.

Configure Reply Detection and Taking Action

Let’s say you want to receive a notification on Slack each time you get a reply from your cold outreach email campaign. Or some other kind of action, maybe!

With Zapier, you can configure the reply detection and the taking action part with ease.

Here’s how I use Zapier for receiving a notification on Slack each time someone replies back to my cold outreach campaigns.

Here are the steps that need to be followed:

  1. Head over to Zapier.com and create a trigger -> New Email Activity in Lemlist
  2. Select the cold outreach campaign you want to receive notifications from. Set the event type as “Emails Replied.”
  3. Choose another action “Send a channel message in Slack”
  4. Choose the Slack channel. Add the information that you want the bots to send to your channel.
  5. Save and run this integration. BOOM! Now, every time someone from one of your cold outreach campaigns replies to you, a bot will be sending you a message on Slack, of which a notification will pop up on your phone.

Monitor and Track Important Email Metrics

To improve your deliverability rate, it’s important to monitor and track some of the email metrics like open rate, bounce rate, click rate, etc.

Here are the two types of metrics you should track:

  • Positive Metrics: How many people opened your emails, replied, clicked through and were interested.
  • Negative Metrics: The number of failed emails, bounce rate, and the number of “Not Interested” leads.

To know where you currently stand and whether your cold outreach campaign is working or not, it’s essential to monitor and track your email open and click rate.

Open Rate

The open rate is the percentage of people who opened your emails. A good email open rate is 50+%. If it’s low, the first thing you should check is the deliverability rate. If the deliverability rate is good, then maybe you need to focus more on crafting killer subject lines.

Hot Tip:Email subject lines are key, you can even personalize them.  Imagine seeing your name in the email subject line in your inbox, at a minimum it would cause intrigue and then possibly encourage the recipient to open it!

Click Rate

Click Rate is the number of people who clicked through.

A good click rate and what you should be aiming for is 40+%.

Reply Rate

Reply Rate is the percentage of people who replied to you back.

If your campaign is subject to a low reply rate, then the problem may be:

  • Lack of personalization
  • Poor templates
  • Not carrying out thorough research about your target audience
  • Not targeting the right audience.

Interested Rate

You can do this manually by marking people who replied back to you with the “Mark as Interested” option.

For the ones who didn’t, you can use the “Mark as not interested” option.

Bounce Rate

A good bounce rate is less than 5%.

The bounce rate is the percentage of your emails that didn’t hit your target audience’s inboxes.

Integrate Your Online Calendar for Scheduling Calls

While sending emails, you might want to make it super-easy for your prospects or potential clients to schedule a meeting with you.

Making it too difficult for them will just make them lose interest.

Don’t worry, Calendly is here to save the day.

With Zapier, you can integrate your online calendar (Calendly) with Lemlist for scheduling calls.

Calendly is one of the most popular scheduling software used by millions of businesses to schedule meetings, calls and appointments with ease.

Integrate Your Email Automation Tool with your CRM

You might have created an outstanding cold email outreach campaign.

And, you might have got dozens of replies.

But what’s next?

You’ll have to keep nourishing these leads to turn them into paying clients.

So, now you need to load your leads into the CRM.

Again, Zapier’s here to save the day.

With Zapier, you can connect your Lemlist with your preferred CRM to load your leads into it.

Here’s an example:

  • You created an outstanding cold outreach campaign
  • Nearly 10 of your potential clients booked a call with you on Calendly
  • Now, you can load these leads, the ones who booked a call with you, into your preferred CRM. My personal favourite is Freshsales
  • Once you have loaded them into your CRM, you need to make sure that you don’t send them the follow-up emails on Lemlist

Here’s how you can do it:

  • Visit Zapier.com and create a Zap “Invitee created in Calendly”
  • Now, you need to stop emails for the people who have booked a call or scheduled a meeting with you. Select “Lemlist” and “Stop emailing a Buddy-to-be in a campaign.”
  • To exclude these folks, define the fields “Campaign” and “Email.” You can do it easily by selecting your Lemlist campaign’s name and choosing the email received from Calendly
  • Now, select your CRM, let’s say Pipedrive as an app. Take the action “Create Person.”
  • What do you want to add to the Pipedrive record? Add variables like Name, Email, phone number etc.
  • Create a deal with your leads in Pipedrive.

And you are done!

The Cold Email, Now Warm Contact Conclusion

In the end, the purpose of going through all of this trouble is to get your clients on the phone, isn’t it? That’s where all the magic happens.

So, the question is, “Why should we run cold outreach campaigns, instead of cold calling them directly?”

It’s the same thing, right? You’d be getting them on the phone in either case.

But the thing is you are reaching out to your audience for the very first time.

The main point here is to create a genuine connection with your target audience. Using either of these methods single-handedly won’t do you any good.

Instead, what’s the best approach here is to run a cold email outreach campaign and allow your prospects to book a call with you, if they are interested. This will help you warm up your prospects before you have a verbal conversation with them.

Going into the call, they already know who you are as it’s not the first time they would be interacting with you.

This will boost your chances of converting them into leads, ultimately helping you turn them into paying clients.

And if you need any help on your cold email outreach journey, feel free to get in touch with me straight away and I will get back to you ASAP.

Logging off,

Matthew Barton
